Challenge
The United States Army Medical Research Institute of Infectious Disease (USAMRIID) needed to increase efficiency in the processing procedures required for personnel arriving into the Institute through the Human Resources (HR) department. A transformation of business practices was sought for process improvement in the procedures used to in-process a new employee, complete paperwork, and input data into the HR database. USAMRIID's current business process presented opportunities for improvement with potential transformations impacting a range of processes and procedures across the Institute.
Solution
Romanyk Consulting Corp. (RCC) was contacted to implement a transformation initiative that would align people, processes, and infrastructure to better the HR processing procedure at USAMRIID. Our team reviewed, mapped, and searched for opportunities in redesign within the in-processing of new hires. RCC business transformation solutions examined HR system alignment, software system automation, as well as many additional technical HR options for a customized unique solution.
Benefits/Outcome
RCC recommended as well as implemented a system to greatly improve USAMRIID's HR department. The department was transformed to be a modular system with different areas of responsibility to streamline functions. Also, an automated software system was in
stituted for instantaneous capture of employment related data. The time to in-process a new hire and have the data available in the Enterprise Resource Planning (ERP) was transformed from over 600 man-minutes to less than 20 in actual task and elapsed time. The created system also produces pre-filled forms, checklists, maps, badge requests and routings that reduce effort and save time in the overall process. Once captured and verified by the human resources technician and the new employee, the data is then automatically pushed to the human resources ERP system. The data integrity of the information provided by the employee that is pushed to the ERP is 99% accurate. This is an improvement of over 30% from the methods utilized prior by the USAMRIID HR department. The business transformation within HR increased efficiency and accuracy inside the department while allowing increases of productivity and decreases of delay in other departments throughout the Institute. |
